3LightTalent Limited ("we", "us", "our") is committed to protecting your personal data. This Privacy Policy explains how we collect, use, store, share, and protect personal data when you use the 3Light Talent platform and website at www.3lighttalent.co.uk (the "Platform"), in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who We Are

1.1 3LightTalent Limited is the data controller responsible for personal data processed through the Platform. We are a company registered in England and Wales under company number 16651567, with our registered office at St Georges Hub, Great Hampton Row, Birmingham, B19 3JG.

1.2 You can contact us about this policy or your data at info@3lighttalent.co.uk.

1.3 Production services (such as photographs, showreels, and voice reels) are delivered by 3Light Media, an associated company, which processes the relevant data to provide those services.

2. Personal Data We Collect

We may collect and process the following categories of personal data:

  • Identity data: name and date of birth.
  • Contact data: email address, phone number, and address.
  • Profile data: skills, experience, and physical attributes relevant to casting.
  • Media data: photographs, videos, CVs, and showreels.
  • Communications data: messages sent through the Platform.
  • Subscription and billing status.
  • Technical data: IP address, device type, browser, and usage data.
  • Special category data: ethnicity, and health or disability information, where you choose to provide it (see section 3).

3. Special Category Data

3.1 As part of a casting profile, you may choose to provide your ethnicity and information about your health or disability. This is "special category data" under Article 9 of the UK GDPR and receives extra protection.

3.2 We process this data only with your explicit consent, which you give separately at the point you choose to add these details. It is optional. You do not have to provide it to use the Platform.

3.3 We use this data only to help match you to suitable casting opportunities and to allow Hiring Managers to search for talent who meet genuine role requirements.

3.4 You can withdraw your consent at any time by removing the information from your profile or contacting us. Withdrawing consent does not affect processing that took place before withdrawal.

4. How We Use Personal Data

We process personal data to:

  • provide and operate the Platform;
  • create and display user profiles;
  • enable job matching, filtering, and applications;
  • allow messaging between users;
  • review and approve job listings;
  • manage subscriptions and billing;
  • keep the Platform safe and prevent misuse, fraud, and abuse, including by using filters and monitoring tools to detect inappropriate conduct in communications;
  • improve, maintain, and secure the Platform;
  • send account-related and optional emails (see section 7); and
  • comply with our legal and regulatory obligations.

5. Lawful Bases for Processing

We rely on one or more of the following lawful bases:

  • Contract: where processing is necessary to provide the services you have signed up for.
  • Legitimate interests: to operate, secure, and improve the Platform, and to keep it safe, including the monitoring described in section 4. We balance these interests against your rights.
  • Consent: for marketing communications and non-essential cookies.
  • Explicit consent: for the special category data described in section 3, under Article 9(2)(a) of the UK GDPR.
  • Legal obligation: where we are required to process data by law.

6. Payments and Subscriptions

6.1 Payments and subscriptions are processed by our payment provider, Stripe. We do not store your full card or bank details. Stripe processes payment data in accordance with its own security and compliance obligations.

7. Email Communications

7.1 When you register, we may send you emails about the Platform. Some are optional and you can turn them off; others are necessary for your account.

7.2 Optional emails (switched on by default, you can opt out): marketing emails (news, announcements, and promotional updates); reminder emails (follow-ups if your profile or subscription setup is incomplete); and matched job alerts. You can change these at any time in your dashboard under My Account, Email Notifications, or unsubscribe using the link in any marketing email.

7.3 Service emails (sent when needed even if optional emails are off): for example email verification, password resets, welcome and profile-complete messages, trial-ending notices, job applications, contracts, payments, and profile approval or restriction.

8. Cookies, Analytics, and Tracking

8.1 We use cookies and similar technologies to operate the website and understand how it is used. Non-essential cookies and trackers are not set until you give consent through our cookie banner.

8.2 With your consent, we use Google Analytics (analytics), Microsoft Clarity (usability analytics such as heatmaps and session insights), and Meta Pixel (marketing and conversion measurement).

8.3 Google and Meta also process some of this data for their own purposes and act as controllers in their own right for that activity. Further detail is in our Cookie Policy.

9. Data Sharing

9.1 We do not sell personal data. We share data only with trusted providers who help us run the Platform, including:

  • Stripe (payments);
  • Hostinger (website and server hosting);
  • Resend (transactional email);
  • 3Light Media (production services);
  • Google and Microsoft (analytics); and
  • Meta (advertising and conversion measurement).

9.2 Where these providers act on our behalf, they do so as data processors under a written data processing agreement. Where a provider determines its own purposes (for example, Google and Meta for their own analytics or advertising), it acts as a controller in its own right.

9.3 We may also disclose data where required by law or to protect the safety of users.

10. International Transfers

10.1 Some of our providers process data outside the UK. Where they do, we rely on appropriate safeguards recognised under the UK GDPR, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, the UK Extension to the EU-US Data Privacy Framework (the UK-US Data Bridge) where the recipient is certified, or a finding of adequacy.

11. Data Retention

11.1 We keep your personal data while your account is active.

11.2 If you cancel, your profile is hidden and access is restricted, but your data is retained so that you can reactivate.

11.3 If your account stays cancelled or locked for twelve (12) consecutive months, we permanently delete your account and personal data. You may also request deletion at any time.

11.4 We retain billing and transaction records for six (6) years where required by law, even after your profile is deleted.

11.5 Special category data is deleted when you remove it, when you withdraw consent, or when your account is deleted, whichever is earliest.

12. Security

12.1 We use appropriate technical and organisational measures to protect personal data, including encryption of data in transit, restricted and role-based access to data, secure and reputable hosting, and regular review of our security practices. No system can be guaranteed completely secure, but we take reasonable steps to protect your data.

13. Your Rights

13.1 Under the UK GDPR you have the right to access your data, to have it corrected or erased, to restrict or object to processing, to data portability, and to withdraw consent at any time.

13.2 To exercise any of these rights, contact info@3lighttalent.co.uk. We will respond within one (1) month, and there is normally no charge.

14. Children

14.1 The Platform is intended for users aged eighteen (18) and over. We do not knowingly collect personal data from anyone under eighteen (18). If we learn that we have done so, we will delete it.

15. Automated Decision-Making

15.1 Our job matching and filtering produce suggestions only. We do not make decisions about you that are based solely on automated processing and that produce legal or similarly significant effects.

16. Changes to This Policy

16.1 We may update this policy from time to time. The updated version will be posted on the website with a revised "Last updated" date. Where changes are significant, we will take reasonable steps to bring them to your attention.
